In Smart Auto Assign, each division's Roster Min/Max sets how many players go on each team. Create missing teams adds teams when a division doesn't have enough. You set both under Step 1: Configure Divisions.
Roster Max
- No team gets more players than the maximum.
- Coaches and other volunteers don't count toward it.
- With Existing roster assignments set to Keep, players already on a team count toward it.
- If there isn't room for everyone, some players stay unassigned. Smart Auto Assign leaves out a mix that matches the whole group, not the last to register.
Roster Min
Smart Auto Assign uses the minimum only for a warning. If a division has more teams than its players can fill, you'll see a message before the run starts. It doesn't hold teams to the minimum. The maximum must be higher than the minimum, so they can't be equal.
How many teams you need
Divide the number of players by the Roster Max, and round up. For example, 50 players with a maximum of 12 need 5 teams, since 4 teams hold only 48.
Smart Auto Assign keeps team sizes as even as it can. So those 50 players on 5 teams get about 10 per team, not four teams of 12 and one of 2.
When you don't have enough teams
If Create missing teams is No, you'll see a warning before the run, like "8U does not have enough teams for its enrollees at the configured roster maximum (2 more team(s) needed)." You can add teams and run again, or click Run Anyway. Players who don't fit stay unassigned.
If Create missing teams is Yes, Smart Auto Assign adds just enough teams:
- Names. New teams continue the division's numbering. A division with 3 teams gets Team 4, then Team 5. Names already in use are skipped.
- When they're created. They show as Team 4 (Proposed) until you commit. Reset leaves no teams behind.
- Where they appear. After you commit, they're in the division under Schedules > Leagues & Divisions, like any other team.
Create missing teams is grayed out when Volunteer is the only enrollee type, because volunteers don't use roster spots.
After you commit
- Rename new teams on the division's 2 Teams page.
- A new team's Coach becomes its contact on 2 Teams. Teams without a Coach have no contact.
- New teams have no associated organization. Admins limited to an associated organization won't see them until an admin without that limit updates them.
Drag & drop has no limit
Drag & drop doesn't check roster size. Watch the counts next to each team, like (Staff: 2, Players: 12), when you place players by hand.
