TeamSideline Support builds every Workflow for you. Admins can view workflows and attach them to programs, but they can't create or change them. Use this article to get your request ready. If you send everything below in your first message, we can build your Workflow faster.
Applies to: Org admins whose organization has the Workflow module (included with Elite, or added to other plans) · Youth Registration programs, for players and volunteers
Before you start
- Your organization needs the Workflow module. If you don't see Workflows under Programs > Configurations, either your organization doesn't have the module or your admin role doesn't include the Workflows permission. Contact TeamSideline Support to ask about adding it.
- Workflow only works with Youth Registration programs. You can't use it with Team Registration plus Roster programs.
- Workflow items link to fields you create. If you want to collect a file during registration, such as a birth certificate, the Workflow item is linked to an Enrollment Field or Custom Field that you set up first (see step 3 below).
What to include in your request
Email support@teamsideline.com with the following information:
- The type of workflow. Tell us if you need a Player workflow, a Coach/Volunteer workflow, or one of each. Each program can have one Player workflow and one Volunteer workflow.
- The name of each workflow that will be tied to registration. For example, "Coach Certification Tracking" or "2026 Fall Football Player Book Check." This is the name you'll select when you attach the workflow to a program.
- The items to include in each workflow. List every requirement you want to track. Examples include a birth certificate, headshot, proof of residency, background check, concussion training or a mandated reporter certificate. Also tell us which of these items will be tied to uploads that you'll collect during registration.
Set up the upload fields for items tied to registration
Every Workflow item that depends on a document needs a field so participants can upload it. Choose one of these field types based on how often the person should upload the file:
- Enrollment Field: Collected and tracked for each program. The person uploads the file each time they register.
- Custom Field: Saved on the customer account instead of on a program. Use this for a document that only needs to be uploaded once, such as a birth certificate.
Let us know in your request which field you'd like to use for each item, or tell us when you've created the fields so we can link them to your Workflow items.
Note: A file upload field only accepts a finished file. It isn't a form people can fill in. If participants need to fill out a form first, post the PDF in your Downloads section or link to it, and then have them upload the completed copy through the field.
Example request
"Please set up one Coach workflow named 'Coach Certification Tracking.' Items: Background Check, Concussion Training, Mandatory Reporter Training. Concussion Training and Mandatory Reporter Training will be file uploads collected during registration."
What happens next
- TeamSideline Support builds your workflow(s) and their items, and links any upload items to your fields.
- We'll let you know when the setup is done.
- Go to Programs > Manage Programs, select your program and open the 1 Setup tab. Choose your workflow from the Participant Workflow dropdown (for players) or the Volunteer Workflow dropdown (for coaches and volunteers).
- Track progress from the program's 4 Roster tab, from Reports > Report Dashboards (Workflow dashboards), or from a person's account at Customers > Account Management > Search > Enrollments tab > workflow icon.
If you'd like to talk through your setup first, you can schedule a support session.
