Raise sends its emails automatically. Every donor gets a receipt (your order confirmation with a Donation Details section, which shows your EIN if you're a registered 501(c)(3)), the campaign's Copy to address gets a notice of each donation, and on Peer-to-Peer campaigns each player's primary adult gets one invitation.
Applies to: Admins with the Administrator or Fundraiser role · Every current plan (Core, Enhanced, Elite and Enterprise), and legacy packages that include Player Registration, Team Registration or Facility Management · Crowdfunding and Peer-to-Peer campaigns
Where: Raise > Configurations > General; Raise > Dashboard (each campaign's Copy to and Thank-you message); Reports > Report Dashboards > Raise Donations; Communications > Communication Logs (System Log tab)
Which emails Raise sends
| Subject | Sent to | When | |
|---|---|---|---|
| Donor receipt | "Order Confirmation | " followed by your Subject Text, or "Order Confirmation | TeamSideline.com" if you haven't set one | Each adult with an email address on the donor's customer account (matched by the email the donor entered, or created for them), plus your Order Copy To addresses | Right after each donation |
| Donation notice | "Donation Received: Thank you! Your gift receipt for [organization]" | The campaign's Copy to address, or your organization's contact email if Copy to is blank | Right after each donation |
| Resent receipt | "Thank you! Your gift receipt for [organization]" | The email address the donor entered | When you choose Send Receipt on the Raise Donations dashboard |
| Player invitation | "[Organization]: your fundraising page for [campaign]" | The primary adult on the player's account | Once per player, after the campaign goes live |
Emails usually arrive within a few minutes, and replies go to your organization's contact email. Players and families aren't emailed when someone donates to their page.
What the donor receipt includes
The receipt is your standard order confirmation: the order number, the card payment, a "Donation: [campaign name]" line, any Processing Fee, and the total. It adds a Donation Details section:
- Your thank-you message: the campaign's, else the default in Raise > Configurations > General, else "Thank you for your donation."
- Organization Name: your Legal Organization Name from Raise > Configurations > General, or your organization's name if that's blank.
- Federal Tax ID / EIN: only when We are a registered non-profit organization is Yes and an EIN is entered.
- Campaign, and the Participant for a gift through a player's page.
- Donor Name (the name the donor chose to display, or their own name, never "Anonymous") and the Donor Message, if the donor left one.
- For registered nonprofits, under Statement of Compliance: "[Legal name] is a registered 501(c)(3) nonprofit organization. Your gift is tax-deductible to the full extent allowed by law."
- On every receipt: "No goods or services were provided in exchange for this contribution."
The donation notice and the resent receipt carry the same Donation Details, plus the donation's date and amount.
Put your EIN on receipts
- Go to Raise > Configurations > General.
- In We are a registered non-profit organization, choose Yes.
- Complete Legal Organization Name, EIN / Tax ID (9 digits, such as 12-3456789), Street Address, City, State and Zip.
- Click Save.
What you'll see: "Save Successful." Receipts sent from then on show your EIN and the 501(c)(3) statement. Receipts already sent don't change, but a receipt you resend from the Raise Donations dashboard uses your current details.
The Copy to address
- Each campaign's Copy to field takes one email address. A shared inbox, such as your treasurer's, works well. Don't enter a list: the notice is sent to the field as a single address, so a list isn't delivered.
- The notice is its own email, not a copy of the donor's receipt.
- If Copy to is blank, notices go to your organization's contact email: the Email Address in Communications > Configurations > Contact Us.
- To get a copy of the donor's receipt itself, use Order Copy To (below). It copies every order, not just donations.
Player invitations (Peer-to-Peer)
- TeamSideline checks for eligible players about every 5 minutes while the campaign is active.
- The invitation goes to the primary adult on the player's account. The player and other adults on the account aren't emailed.
- Each player gets one invitation per campaign, and it isn't resent. To send a link again, open the player's page with View Donation Page on the Raise P2P dashboard and copy its address.
- If the primary adult has no email address, the invitation waits until one is added, as long as the campaign is still live.
- A player who transfers to a new registration gets a new page and a new invitation. The old link stops working.
The invitation greets the adult by first name and reads, in part: "[Player] is taking part in [organization]'s [campaign] campaign and now has a personal fundraising page." It gives the player's goal if you set a Default personal goal, links to the page ("View [player]'s fundraising page") with the page's full address printed below, and ends with "Share the link with friends and family. Anyone can give from the page, and no account is needed to donate."
What you can customize
The wording of Raise emails is fixed. You control what fills them in:
- The campaign's Thank-you message, and the default Thank You Message in Raise > Configurations > General.
- Your tax details, in Raise > Configurations > General.
- The campaign's Copy to address and Default personal goal.
- For the donor receipt, which is your order confirmation:
- Order Copy To, under Orders in Administration > Configurations > General: addresses that get a copy of every order, donations included. The Order Copy To on Programs > Configurations > Store/Donations covers Store and Donations page orders only, not Raise.
- Subject Text and Banner Image in Communications > Configurations > Email.
- The Order Confirm - Instructions Section, text added to the bottom of every order confirmation: in Content > Checkout Instructions on an Editor 2.0 website, or Content > Page Edit on a legacy website. Donors see it too, so keep it general.
If an email didn't arrive
- Ask the recipient to check spam and junk folders, and to confirm the address.
- Check Communications > Communication Logs on the System Log tab; the first tab lists only emails sent with Send Communication. Set the Date Range and pick a Message Type: the order confirmation for a donor's receipt, or "Raise Donation Receipt" (a resent receipt), "Raise Donation Admin Notification" or "Raise Donation Participant Invitation".
- An address with an email filter (it bounced, unsubscribed or marked an email as spam) isn't sent Raise emails. The System Log shows the filter.
- Resend a donor's receipt from Reports > Report Dashboards > Raise Donations: choose Send Receipt in the donation's Options menu.
- For a missing invitation, check that the campaign is active, the registration is accepted, the player is on one of the campaign's teams (if you chose teams), and the primary adult has an email address. Then send the link from the Raise P2P dashboard.
Good to know
- The Fundraiser role can resend receipts but can't open Communication Logs or the Orders settings. Ask an administrator.
- Order Copy To appears on Administration > Configurations > General only for admins who can use Programs or Facility Reservation.
- When a donor's email address matches an existing family account, the donation is added to that account, so every adult on it with an email address gets the receipt.
